User Data Deletion Instructions
This page explains how users, clients, and authorized business contacts can request deletion of data associated with Circuit Reply.

1. How to Request Data Deletion
To request deletion of your Circuit Reply data, email Ethercircuit Solutions at [email protected] with the subject line Data Deletion Request - Circuit Reply.
Please include the following details so we can locate and verify the relevant account or data:
- Your full name.
- Your email address or WhatsApp number associated with the request.
- The business or tenant name, if applicable.
- The type of data you want deleted, such as admin user data, lead enquiry data, WhatsApp conversation data, or full tenant/account data.
- Proof that you are authorized to request deletion for the relevant business account, if the request relates to a client tenant.
2. Verification
For security, we may need to verify your identity or authority before deleting data. This helps prevent unauthorized deletion of business records, customer messages, tenant configuration, approved pricing, or operational logs.
If the request relates to a business tenant, we may confirm the request with the account owner, administrator, or approved business contact before proceeding.
3. What Data Can Be Deleted
Depending on your relationship with Circuit Reply and the verified request, deletion may include:
- Lead or referral enquiry information submitted through Circuit Reply.
- Admin user profile data associated with a Circuit Reply tenant.
- Business tenant data, including catalog items, aliases, FAQs, approved response wording, settings, and account configuration.
- WhatsApp-related message content and conversation records processed by Circuit Reply, where deletion is technically and legally permitted.
- Operational diagnostics and support records associated with the account, where deletion is technically and legally permitted.
4. Data We May Need to Retain
Some information may be retained where required for legal, security, audit, accounting, dispute resolution, fraud prevention, platform compliance, backup integrity, or legitimate business operations.
Backup copies may take additional time to expire through normal backup rotation. During that period, backup data is not used for active operations unless restoration is required for security, continuity, or legal reasons.
5. Processing Time
We aim to acknowledge deletion requests within 7 business days. Verified deletion requests are normally processed within 30 days, unless the request is complex, legally restricted, or requires additional verification.
If we cannot complete the request as submitted, we will explain the reason where we are permitted to do so.
6. WhatsApp and Meta Platform Data
Circuit Reply may process WhatsApp-related data through approved WhatsApp Business or Meta Business Platform infrastructure. We can delete data stored in Circuit Reply where deletion is technically and legally permitted.
Data held directly by Meta, WhatsApp, messaging providers, or other third-party platforms may need to be managed through those providers' own tools, policies, or support processes.
